What we keep, and why.

What we collect

When you use the form: your name, company, email address and what you write. It arrives as an email in our inbox.
When you email us or become a client: your messages, your contact details, and the details we need to invoice you.
When you pay by card: Wise takes the payment. We see that a payment was made and by whom, never your card number.
When you visit the site: our hosting provider keeps short-lived server logs, including IP addresses, to run the site and protect it from abuse.

No cookies, no analytics, no tracking pixels, no advertising. The fonts are served from our own server, so loading a page does not tell anyone else you visited.

Why we use it

To answer your request and set up a call. You asked us to, and we have a legitimate interest in replying.
To do the work and bill for it. We need it to perform our contract with you.
To keep accounting records. The law requires it.

Who else handles it

Vercel hosts this website and runs the form.
Resend delivers form submissions to our inbox.
Google provides our email.
Wise processes payments and holds our business account.

Some of these providers process data outside the UK, including in the United States. Where they do, they rely on recognised safeguards, such as the UK International Data Transfer Addendum.

We do not sell personal data, and we do not share it with anyone else unless the law requires it.

Data inside your systems

When we build for you, we may handle personal data inside your systems on your behalf. For that data, you are the controller and we act as your processor. We agree the terms for that with you in writing before the work starts.

How long we keep it

Requests and emails that do not lead to work: up to 12 months, then deleted.
Client and invoicing records: six years after the end of the financial year they belong to, as UK law requires.

Your rights

You can ask for a copy of your data, have it corrected or deleted, object to how we use it, or ask us to restrict it. Email scalesworksltd@gmail.com and we will reply within one month.

If you are unhappy with how we handled your data, you can complain to the Information Commissioner’s Office at ico.org.uk.

Security

The site runs over an encrypted connection (HTTPS). Form submissions go straight to our inbox; we do not keep a separate database of them.
